QuickBooks - Invoices vs. Sales Receipts - What is the Difference?

There is utter confusion amongst many people as to the difference between the invoice and sales receipts. The fact of the matter remains that both these things are not the same things in the terminology of QuickBooks. It is true that both invoices and sales receipts record the relevant sales information. However, both of them are not the same.

It is very necessary to look at the differences between the invoices and the sales receipts. The fact of the matter remains that invoices are more flexible than the sales receipts. When you click the mouse, you can easily convert estimates or sales orders into the invoices. You can record all the information of the customer sales in the job list of the customer with the help of invoices.

When the invoice is used, customers may owe the business money. This is because in case of a credit sale an invoice is generated. It is important to know that the customer information is entered as a separate step. It has to be entered on a separate screen. On the other hand, sales receipts are comparatively rigid. Sale receipts are generated only in the case of cash based sales.

It is very important to know that even if you use the sales orders and estimates, these cannot be converted into sales receipts in an electronic manner. The QuickBooks find it difficult to track the business in case the customers with the help of the sales receipts own it. When the sales receipts are used, the sales history of the customer job list is not tracked. However, when the sale is recorded as an invoice, the information about the payment of customers is entered on the sales receipt screen.

It is important to know that the businesses that use sales receipts can also use the invoice. The opposite may not be necessarily true. This is a feature of QuickBooks. It means that in case the business uses invoice, it cannot use the sales receipts. In case you use estimates or the sales orders, it is good to use the invoices. The customers can pay after the date of sale.
